The front desk opens it the next morning. By then the patient has an appointment somewhere else.
This is the most expensive gap in a clinic funnel and the one least likely to be measured.
What the research shows about response speed
Harvard Business Review audited 2,241 companies across industries including health care, measuring how long each took to respond to a web enquiry.
24 percent took longer than 24 hours. 23 percent never responded at all.
Companies making contact within the first hour were close to seven times more likely to qualify the lead than those waiting one hour longer, and sixty times more likely than those waiting a day.
Sixty times is not an optimisation margin. It is the difference between a functioning funnel and a decorative one.
Why this is a marketing loss, not an operations one
Consider what an unanswered enquiry actually represents.
The patient searched. Found the clinic. Chose it over the competitors that appeared alongside it. Read enough to be persuaded. Submitted their details.
Every dirham of the acquisition cost has already been spent by the time that form arrives. The enquiry is the most expensive object in the clinic's marketing, and it is sitting in a queue nobody is timing.
A clinic that improves response time converts more of the traffic it is already paying for. That is the cheapest growth available and it requires no additional budget at all.
Nobody decided to lose that patient
The failure is structural, not personal.
There is no alert on an unanswered form. There is no rule for evening and weekend enquiries, which in Dubai is a substantial share of them, because patients research clinics after work.
There is no single person who owns the callback. The form goes to a shared inbox, and a shared inbox is a location where responsibility dissolves.
Nobody in the clinic made a decision that produced this outcome, which is exactly why it persists. There is no decision to reverse.
The one number to start with

We open it with one figure: the number of minutes between enquiry submission and first human contact.
Most clinics have never measured it. The ones that have are rarely comfortable with the answer.
The figure is straightforward to establish. Take the last fifty enquiries, record the timestamp on each, and record the timestamp of the first call or message out. The median tells you more about the clinic's patient acquisition than any campaign report.
What to fix, in order
Assign one owner. One named person responsible for first contact, with a named backup. Not a team, not an inbox.
Set a target and report it. Under fifteen minutes during working hours is achievable for a clinic. What matters more than the specific target is that it is reported weekly alongside booking numbers.
Define the out-of-hours rule. An automated acknowledgement within minutes stating when a human will call, then a call at a stated time. The acknowledgement is not a substitute for the call, but it prevents the patient from assuming nobody is there.
Put an alert on unanswered forms. Any enquiry untouched after the target window triggers a notification to a named person.
Log the outcome of every enquiry. Contacted, booked, not booked, with a reason. Without this, no improvement is measurable.
